# Invoice data extraction from PDF to Excel for bookkeepers

Invoice Table is invoice data extraction software for independent bookkeepers and small firms. It converts supported digital invoice PDFs, images, and text files into an editable review table, checks common data-quality problems, and exports Excel, CSV, or JSON after human review.

## What is invoice data extraction software?

Invoice data extraction software converts invoice content into structured fields such as vendor, invoice number, invoice date, due date, currency, subtotal, tax, and total. Invoice Table keeps the source filename beside each row and makes missing fields, invalid dates, arithmetic mismatches, possible duplicates, and currency boundaries visible before export.

## How to convert invoice PDFs to a review-ready Excel workbook

1. Open the [free browser workspace](https://invoicetable.app/app).
2. Choose up to five supported PDF, PNG, JPG, TXT, Markdown, or CSV invoice documents.
3. Check the batch to create structured rows and surface missing fields, date issues, arithmetic mismatches, and possible duplicates.
4. Compare every extracted value with the named source file and correct flagged fields.
5. Export a formatted XLSX workbook, CSV, or JSON file.

## Checks

- Required-field completeness
- Date validity
- Subtotal-plus-tax arithmetic
- Possible duplicate records
- Currency separation
- Accounting-style export eligibility

An arithmetic check confirms internal consistency only. It does not prove that an invoice is legitimate.

## Browser inputs and outputs

| Stage | Formats | Note |
|---|---|---|
| Input | Digital PDF, supported PNG and JPG images, TXT, Markdown, CSV, pasted text | Scanned-PDF page OCR is not supported. Image results vary by quality and English-layout coverage. |
| Export | XLSX, CSV, JSON | Review every row against its source before use. |

## Hosted assistant tools

MCP endpoint: `https://invoicetable.app/api/mcp`

- `analyze_invoice_text`: extracts common fields from invoice text and returns a review queue
- `validate_invoice_records`: checks structured records for missing fields, invalid dates, arithmetic mismatches, and possible duplicates
- `export_invoice_records`: prepares spreadsheet-safe CSV text while preserving review flags

The hosted tools process only the invoice text or structured records sent in the request. They do not read files from a user's computer. See the [invoice MCP server status and connection guide](https://invoicetable.app/install) for current ChatGPT, Claude, and Manus availability.

## Limits and safeguards

Invoice Table does not perform scanned-PDF page OCR, approve invoices, make payments, post directly to accounting software, or provide bookkeeping, accounting, tax, audit, legal, or payment advice. English-layout coverage is the current focus. Do not combine totals across currencies. Keep invalid and possible duplicate rows out of accounting-style exports until a person resolves them.
